Contact Templates

In Cirkus, Contact Templates are predefined structures used to standardize an individuals information across Projects and teams. They allow users to create consistent contact records by defining specific Fields such as name, email, phone number, and custom attributes relevant to an individual Contact.
These templates streamline communication, ensure uniformity, and make it easier to manage external collaborators or internal team members.

By using Contact Templates teams can quickly add new Contacts without repeatedly entering the same details, improving efficiency and organization. They can also be customized to fit different workflows, ensuring that relevant information is always captured for each Contact.

Elements of a Contact Template

Using a template allows you to pre-populate Contact elements that will automatically be applied to the Contact when the template is applied. When configuring a template, all elements and fields (except Contact Template Name) are optional. Any elements you leave blank/empty can be manually added to a Contact later.

Info

Template Name: create a name for the Contact Template
Template Description: information that explains what the template can be used for
Default Name: default name applied to the Contact where this template is used
Default Contact Description: default description applied to the Contact where this template is used

Fields

The fields tab outlines the default and custom fields of your template which you can add, reorder, edit, and remove.
You can show, hide and rename all fields on the Contacts, as well as adding hints, and reordering how they show in the forms.
You can also add new Custom Fields of different types e.g text entry, checkbox, selector.

Create a New Contact Template

Web & MacOS

  1. As an Administrator, click Workspaces and double-click the workspace where you would like to use the template
  2. Click the Templates tab, then Contacts 
  3. Type a name for the new template and click Add Contact Template
  4. Double-click on a Contact Template name to access the Contact Template configuration
  5. Populate the desired template elements of Name, Description and Standard and Custom Field

iOS 

As an Administrator, click Workspaces and select the workspace where you would like to use the template

Click the Templates

  1. Click Add Contact Template
  2. A new window will appear where you can populate the template's Info
  3. Click Done
  4. Now you will see the new template in the Contact Templates tab

Applying to New Contacts

  1. Click on Contacts
  2. Click Add Contact
  3. A New Contact window will appear. Select the Contact Template you want to apply to the new Contact.
  4. Fill out any standard or custom fields, Mandatory fields must be completed before the Contact can be created.
  5. Click OK

iOS

  1. Click on Contacts
  2. Click Add Contact
  3. A New Contact window will appear, select a Workspace and type a name for the Contact
  4. Click Add Contact Template ) and select the template you want to apply to the new Contact. 
  5. Fill out any standard or custom fields, Mandatory fields must be completed before the Contact can be created.
  6. Click Done

Apply Contact Templates to Existing Contact 

You can apply a Contact Template to an existing Contact 

  1. Go to the Contact where you would like to apply a Contact template
  2. Select the Info tab
  3. Click the blue text to the right of Contact Template and select a template

Note: If you change the contact template, Cirkus will attempt to keep the fields and values which match in name and type

Duplicate Contact Templates

You can also Duplicate your Contact Template if you want to create a new similar one.
On mac: right click a Template > Duplicate Contact Template
On web: Edit > Select a Template > More Actions > Duplicate
On iOS: Swipe on a Template >More (...) > Duplicate

Export and Import a Contact Template

You can also Export your Contact Template if you want to move it to a different environment, or send a copy to support to debug.
To Export
On mac: right click > Export
On web: Edit > Select a Template > More Actions > Export
A <template>.json file will be downloaded to your machine.

To Import
On mac and web: In the Template list, select the (...) from the options menu in the bottom bar > Import Template
select the file from your device and the template will be created with (imported) appended to the name.
